Lawful bases and data protection rights
Under UK data protection law, we must have a lawful basis for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO's website.

Your right of access: you have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. There are some exemptions which means you may not receive all the information you ask for.

Our legitimate interests are: personal information collected through sign up and membership activity is necessary for the delivery of a professional coaching practice. This information supports tailored services, tools, and resources that directly benefit each member's wellbeing experience. Interactive tools within the membership generate anonymous data by default. Personal reflections are only shared with a coach where a member actively opts in to support their coaching experience. This opt-in is voluntary and can be withdrawn at any time. Data is used solely to improve the member's experience and is never shared, sold, or used for unrelated purposes. The risks to individuals are low given default anonymisation and secure handling of any voluntarily shared personal data. This legitimate interest does not override the rights and freedoms of members.

Our legitimate interests are: personal information held within member accounts is necessary for the operation of a professional coaching and wellbeing membership service. Account data enables members to access their personalised resources, track their progress, manage session bookings, and receive relevant communications about their membership. Data held is limited to what is necessary for this purpose and is never used for unrelated activities, shared with third parties, or sold. The risks to individuals are low and are outweighed by the clear benefit of receiving a personalised, professional wellbeing service. This legitimate interest does not override the rights and freedoms of members.
Where we get personal information from
All personal information is collected directly from you through sign up forms, session bookings, and your use of the membership platform.
How long we keep information
Personal information is retained in line with professional body recommendations, legal requirements, and the legitimate needs of the service.
Coaching records and session notes are retained for 7 years following the conclusion of the coaching relationship, in line with the Association for Coaching Global Code of Ethics and professional indemnity insurance requirements.
Financial and payment records are retained for 6 years from the end of the relevant tax year, in line with HMRC requirements.
Member account data is retained for the duration of membership and for a reasonable period following cancellation to allow members to return to the service. Members may request deletion of their personal data at any time, subject to legally required retention periods.
Opt-in coaching reflections shared voluntarily through the membership platform are treated as coaching records and retained for 7 years accordingly.
Anonymous data generated through membership tools contains no personally identifiable information and is not subject to a retention period.
All personal data is stored securely and disposed of safely at the end of the relevant retention period, in line with UK GDPR and the Data Protection Act 2018.
Who we share information with
Personal information is not sold, leased, or distributed to third parties. Information is shared only with the following data processors who support the delivery of our service:

Platforms: Wix provides website hosting, membership management, and data collection including member accounts, session bookings, and payment processing. Scorecard is an external lead generation tool collecting personal data via the wellbeing quiz prior to website sign up.

Web designer: ad hoc contracted technical service providers supporting website design and development. Where access to personal data is incidental to this work, providers are bound by confidentiality agreements.

Google LLC: personal email communications with members and leads are conducted directly via Gmail, operated by Google LLC. Google's data processing terms are incorporated within their terms of service

Elizabeth Simpson Coaching operates in accordance with the Association for Coaching Global Code of Ethics and is committed to the highest standards of professional practice.
Confidentiality
Everything shared within the coaching relationship is held in strict confidence. Personal information, session content, and any reflections shared through the membership platform are not disclosed to any third party without your explicit consent, except in the following circumstances where there is a legal or ethical obligation to do so: where there is a serious risk of harm to you or others, or where disclosure is required by law.
Where sessions are attended by more than one member, all participants are expected to respect the confidentiality of others. This expectation is made clear at the outset of any shared session.
Coaching specialism and scope of practice
Elizabeth Simpson is an accredited wellness and resilience coach and member of the Association for Coaching. Coaching is a forward-focused, collaborative process that supports individuals in identifying goals, exploring challenges, and making intentional progress in their wellbeing.
Coaching is distinct from therapy, counselling, or medical advice. It does not diagnose, treat, or provide clinical support for mental or physical health conditions. Where coaching reveals a need that falls outside its scope, signposting to appropriate professional services will always be offered.
The Women's Wellbeing Lab is designed to support women who are functioning well but privately aware that something needs to shift. It is not a crisis service. If you are experiencing a mental health crisis or require urgent support, please contact your GP, call 111, or reach out to an appropriate crisis service.
